Constitution & Rules
THE COMMITTEE
- The committee shall consist of: The Chairman, The Secretary, The Treasurer, The Manager/s from each of the teams that make up Saxon’s Football Club and Players’ Representatives (the number of which shall be decided at the Annual General Meeting). Any member/s of Saxon’s Football Club may be invited to attend any Committee meeting. However the invited member/s will not be allowed to vote on any issues discussed.
- The named Committee members must stand for re-election each year.
- The election of officers can only take place at the Annual General Meeting.
- Voting by proxy is allowed only if special circumstances are proven and agreed to by the standing Committee.
- Committee members can be nominated, with the nominees’ permission, either by proxy or in person.
- The position of Team Manager is subject to review, by the standing Committee, throughout the season.
- The position of each Team Captain will be the decision of the Team Manager/s.
- Committee meetings will be held once each month. The date to be decided by the standing Committee.
- Apologies for non-attendance are requested.
- No Committee meeting can take place with less than four Committee members present.
- In the event of a split decision The Chairman will have the casting vote.
- All Committee meetings will be minuted and the minutes circulated to all members of the committee.
- The Chairman shall set the agenda for each meeting.
- The Secretary shall keep all master copies of the minutes.
- All business must be conducted through the chair.
THE ANNUAL GENERAL MEETING
- The date of the Annual General Meeting will be arranged by the standing Committee.
- The Chairman shall set the agenda for each meeting.

- All elections will be carried out at the end of the agenda.
- The hand over of any club business will be done at the first meeting after the Annual General Meeting. Both the out-going and in-coming Committees will attend this meeting.
- Decisions voted on during the Annual General Meeting concerning the Club or its members can only be overturned at the following years’ Annual General Meeting ot by An Extraordinary General Meeting, which can be called for at any time during the season, by The Committee.
- The rules that apply at an Annual General Meeting will apply at an Extraordinary General Meeting.
- The Treasurer must have the accounts audited before the Annual General Meeting in readiness for submission to the Northamptonshire Football Association (to be posted within two weeks).
- Club accounts must be available for members’ inspection.
THE CLUB RULES
- A signing on fee of £10.00 is to be paid at the time on signing. The fee is subject to review each year.
- The players taking part in each week’s games must pay match fees to the club. The amount to be paid in match fees will be decided by the standing Committee and is subject to change at any time during the year. These fees are to be collected each week by the Manager/s or an appointed person. The fees collected must then be handed over to The Treasurer at the earliest opportunity.
- Training fees must be paid to the club by the participants at the time that training takes place. The amount to be paid in training fees will be decided by the standing Committee and is subject to change at any time during the year.
- Reduced match and training fees for the unemployed and students can be set at the discretion of the standing Committee and are subject to change at any time during the year.
- All fees charged by Saxon’s Football Club are subject to revision each year.
- Players exceeding £10.00 arrears in either match or training fees are subject to exclusion from the squad until the arrears are cleared (NO EXCEPTIONS).
- All kit on match days must be replaced in the kit bag provided, and not be taken home. Any loss or wilful damage will result in a fine or exclusion from the squad until such items are either returned or replaced.
TRANSFERS
- Any player wishing to leave Saxon’s Football Club and is in arrears to the club or is in possession of or has not replaced damaged property belonging to the club, as decided by the standing Committee, will have any proposed transfer blocked. The Northamptonshire Football Association will be advised of the situation and the nature of the complaint against the player. The club wishing to sign the player will also be apprised of the situation. The Northamptonshire Football Association will not sanction the transfer of any player in this situation.
- Any player requesting a transfer must do so through The Secretary. The Secretary will then contact the club wishing to sign on a player and if all criteria are met the transfer will take place. It is the responsibility of the club wishing to sign the player to provide the transfer form and pay the relevant fee. It is Saxon’s Football Clubs right to a seven-day clearance or waiver. Any incoming transfers will be dealt with in the same manner.
DISCIPLINE
- Generally it is the responsibility of the individual player, who is subject to disciplinary action, to deal with any paperwork which may be passed on to him and to pay, by the date shown on the paperwork, the required amount to the association issuing the fine. He will also be liable for any additional costs that are incurred (e.g. non-payment of fine, unsuccessful appeal etc.).
- If a player is subject to disciplinary action and feels that he wishes to appeal against the charge he may either appeal directly to the issuing body himself, as per the League rules, or he may approach the club Committee for a personal hearing where he can put his case. If the Committee decides to back the player it is within the Committees’ discretion to pay the fine involved. If the Committee decide that the player has a case to answer then it remains the responsibility of the player to deal with the disciplinary action.
COMMITMENT TO THE CLUB
- When a player signs on for the club he should, when asked to, sign on to all leagues in which the club participates. It should be made clear to the player by whoever signs him on that he is signing on for the club and not a particular team.
- The player will be expected to represent the club, if available, in any of the teams within the club he is asked to play for, whether in a friendly, league or cup fixture.
- If the player declines this request then, unless he is deemed to have a genuine reason by the manager/s, he will forfeit his tight to play for any of the teams within the club on that particular date.
- If the player persists in refusing to play for the teams or games he is picked for then he will not be invited to sign on the following season.
CLUB OBLIGATIONS
- It is the Clubs duty to enforce all League and Football Association rulings so therefore it is the Clubs responsibility to ensure all fines are paid.
- All fines, at the Clubs discretion, are reclaimed from player/s concerned.
- Any member of the Club who feels that any decision made by the Committee is not in the interest of the club can request an audience with the Committee to make his objections know. Any objection will be duly noted. However, the decision will stand unless the Committee feels that the objection is justified.
